Under general supervision provides general administrative support to the VP, GM of the business. Exercises judgment in decision making, has knowledge of the business and assists in the coordination of various activities.
Duties include, but are not limited to:
Maintains appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel
Produces accurate information by transcribing, formatting, inputting, editing, retrieving, copying, transmitting data and generating useful output documents for the various business areas
Generates, maintains, and updates ongoing reports on a weekly, monthly, quarterly basis
Timely processing of Expense Reports
Keeps track of various Employee related recognition tools i.e. B-day list, award cards
Processes invoices of completed service and orders
Keeps track of Company Magazine -verifying content, scheduling and keeping the distribution list accurate quarterly
Orders supplies as necessary for the floor operations
Keep accurate records of all State/County professional licenses that are required
Provides and maintains accurate data filing and retrieval systems, along with recording meeting discussions.
Prepares reports by collecting and analyzing information.
Maintains confidentiality of all sensitive information
Other duties as assigned
Education and Experience:
High school diploma or an equivalent combination of education and experience.
3+ years experience in an administrative position
HVAC industry or Service trade industry preferred
Proficient in Microsoft Word, Excel and PowerPoint
Strong working knowledge of Excel
Must be able to prioritize work, work on multiple tasks and maintain organization
Must be self-directed, excellent customer service skills.
Keen ability to organize and prioritize duties.
Strong written and verbal communication skills.
